Key Responsibilities

1. Office Administration

  • Front Office Management: Oversee reception duties, handle incoming calls, emails, and visitor management.
  • Facility & Supplies Management: Maintain office equipment, order stationery, and ensure a safe, clean, and well-organized workplace.
  • Record Keeping: Maintain and update company files, documents, and confidential records (contracts, licenses, renewals).
  • Vendor Coordination: Liaise with suppliers, service providers, and maintenance contractors; negotiate service agreements.
  • Travel & Logistics: Arrange travel itineraries, visas, hotel bookings, and transportation for staff or guests.
  • Meeting & Event Support: Organize company meetings, prepare agendas, and ensure availability of meeting facilities and refreshments.
  • Petty Cash & Expenses: Handle petty cash, verify bills/invoices, and support finance with expense reports.

2. Human Resources

  • Recruitment & Onboarding: Post job ads, screen CVs, schedule interviews, prepare offer letters, and manage joining formalities.
  • Employee Records Management: Maintain HR database, personnel files, and update employee information.
  • Attendance & Leave Management: Monitor attendance, leaves, and overtime; coordinate with payroll for accurate salary processing.
  • HR Policies & Compliance: Assist in drafting and implementing HR policies in line with Omani labour laws; ensure compliance with PASI and ROP requirements.
  • Employee Engagement: Plan team-building activities, staff events, and internal communication initiatives.
  • Performance & Appraisals: Support the performance evaluation process and keep records of employee development plans.
  • Grievance & Conflict Handling: Act as a point of contact for employee queries and grievances, escalating as needed.

3. General Support

  • Management Assistance: Provide administrative support to senior management and handle special projects as assigned.
  • Confidentiality: Protect sensitive company and employee information at all times.
  • Continuous Improvement: Suggest ways to improve office processes, employee experience, and overall efficiency.

  • Strong leadership and client management skills with excellent communication and interpersonal abilities.
